Kronos Timekeeping System
The Brigham and Women’s Hospital has an “on-line” time reporting system called Kronos in place to weekly paid employees. It is the employee’s responsibility to submit their own time sheets each week to their assigned timekeeper. In order for you to be paid correctly every week, there are a few things you need to do:
For employees in HIM / NRB and Clinical Research:
- An E-mail from Shannon Huey will be sent every Thursday with a timesheet attachment for you to report weekly hours. You will need to e-mail
Shannon back at shuey@partners.org every Friday by 10:00 am to report your weekly hours and a copy of your timesheet must be sent to either your Principal Investigator or their designee or your immediate supervisor. If your Principal Investigator or their designee or your immediate supervisor are not cc’d on your email it will be returned to you.
For employees at Landsdowne:
- An E-mail from Eiblis Goldings will be sent every Thursday with a timesheet attachment for you to report weekly hours. You will need to email Eiblis Goldings (egoldings@rics.bwh.harvard.edu) no later than Friday by 10:00am am to report your weekly hours and a copy of your timesheet must be sent to either your Principal Investigator or their designee or your immediate supervisor. If your Principal Investigator or their designee or your immediate supervisor are not cc’d on your email it will be returned to you.
Failure to meet the deadline or turn in a timesheet will result in you receiving a delayed paycheck or no paycheck at all the following Thursday.
- On Brigham Observed Holidays, you will automatically have time deducted from your benefit time bank, UNLESS you work on the holiday. An e-mail from your direct supervisor or Principal Investigator approving your work on a holiday must be sent to your timekeeper so that you can be paid accordingly. (See the Brigham HR Website for a listing of Observed Holidays – http://pulse.partners.org/hr/index.htm. A copy is also in this packet).
- Working on a Hospital Holiday requires pre-approval from your supervisor or Principal Investigator in writing with a cc to your timekeeper.
- Your Principal Investigator or immediate supervisor must approve all overtime and they must send an email to your timekeeper stating the approved hours in order for overtime to be paid.
- The first 90 days of employment at the Brigham and Women’s Hospital is considered your introductory / probationary period. Any absences during these first 90 days will be unpaid time off with the exception of BWH Observed Holidays. You will accrue BT during your introductory period but will not notice this time until the week after your 90-day introductory period ends. If there were any BWH Observed Holidays, which occurred during your first 90 days, you will notice these deductions in your BT Bank.
- If you will be taking vacation, please make sure this is cleared in advance with your supervisor or Principal Investigator. Please let
Shannon or Eiblis know as far in advance of vacation time off so that assessments of sufficient BT can be determined. If your Principal Investigator or supervisor needs to know how much benefit time an employee has in order to cover your request, they can contact either
Shannon (Phone 617-525-5733 or email:
shuey@partners.org) or Eiblis (Phone 617-768-8602 or email:
egolding@rics.bwh.harvard.edu).
Direct Deposit of your weekly paycheck is strongly recommended. You are able to set up direct deposit through PeopleSoft when you elect your benefits.
