Vacation/Time off Guidelines for Administrative Staff
All Administrative Staff will email Heidi Thomas with all Vacation/Time off requests. Time off will need to be approved, this includes making assessments of coverage and benefit time, prior to loading the request into the CND web and prior to making travel arrangements.

- In order to take time off you will need to have 16 hours of BT remaining in your balance. Exceptions to this will be made on a per case basis.
- Requesting one day off or for appointments: 1 week notice is required
- Requesting 2 or more consecutive days off: 2 weeks notice is required
- Using 8 or more BTU’s (Benefit Time Unscheduled) during a year will result in 1% off your yearly merit increase.
- NON-EXEMPTand EXEMPT staff are allowed to make up only 4 hours per month (excluding working on a BWH recognized holiday).
- FMLA leaves will not count towards this guideline.
- Each employee is responsible for arranging their own backup and conveying this information to their PI and other individuals who will be effected
- A message should be placed on voice mail stating the dates that the individual will be out as well as who should be contacted during employee absence
An email vacation message should be submitted, again stating the dates of absence and who should be contacted during that absence for coverage
